First, check whether the bag is missing or still being unloaded
An empty-looking belt does not necessarily mean your suitcase missed the flight. Check the flight information and ask baggage staff whether delivery is complete. If you checked a stroller, golf bag or another bulky item, ask whether it has a separate collection point.
If the bag still cannot be located, ask for your airline’s baggage representative or handling agent. A checked suitcase missing from your flight is different from a phone left in the terminal or an item forgotten in a transfer vehicle. Start with the airline’s baggage process rather than treating every missing item as airport lost property.
Register the report before heading out to your driver
Do not leave just because you are worried about the car waiting. Notify the transfer team, then follow the airline’s reporting instructions. Keep your baggage tag, flight details, booking information and a clear suitcase description handy. A photo can help identify it. Ask staff what still needs completing before you leave.
Save confirmation that the report was registered, its reference number and the follow-up instructions. The baggage tag issued at check-in and the missing-bag report reference may be different. If the airline has already sent a notification, show it to the representative and ask whether any further action is required. If you have already left, contact the airline promptly for its reporting process.
Send the transfer team a useful update
A short, specific message is better than simply saying you are late: give the booking name, flight, terminal and accommodation, then explain that a checked bag is missing and you are speaking with the airline. Say clearly that you are not ready to meet yet and ask for the next pickup steps.
You do not need to send passport images or your complete baggage paperwork to explain the delay. Avoid promising a departure time while still in a queue. Pass on a useful update when you have one, and message again when you are ready. Keep both the airline and transfer contacts available; changing one record does not update the other.
Stay connected from the terminal to the hotel →Will the transfer wait? Confirm with dispatch
A late aircraft and extra time spent reporting baggage are different situations. Ask dispatch whether the existing pickup arrangement still works and whether waiting, a later vehicle or any additional charge needs agreement. Do not assume unlimited waiting, but do not book a replacement ride without checking your reservation either.
If some travelers want to leave while another stays with the airline, discuss the plan first. One confirmed vehicle does not automatically become two departures. Once ready, follow the latest meeting instructions. Contact the team if you cannot locate the driver instead of heading to another terminal on a guess.
Cannot see your driver? Do this next →Ask what happens to the suitcase next
Before leaving, ask how to check updates, whether delivery is available to your actual accommodation and whether forms or authorisations remain outstanding. Establish who contacts you and what to do if you change hotels. Neither an airport return trip nor delivery to every address should be assumed: get the arrangement for your case.
A tracker location may help you explain where the bag appears to be, but it is not confirmation that it is cleared or ready for collection. Follow the airline’s instructions before arranging another journey. Your transfer driver cannot release checked baggage on your behalf simply because you booked an airport ride.
Give an address somebody can actually use
For a resort, provide the full property name and ask reception whether it can accept the bag. Confirm any guest-name, room or identification requirements. For an apartment or villa, add building, unit, vehicle entrance and a working contact number. Ask the host about access and whether someone can receive a delivery while you are out.
If you move during the holiday, update the baggage contact directly. A new transfer address does not automatically change the airline’s delivery record. Keep delivery and accommodation arrangements separate from the airport booking: permission to enter a residence and acceptance of a suitcase need agreement with the relevant people.
Keep the first evening manageable
Once the report is registered and the airline says you can continue, agree your pickup and head to your accommodation. If you need replacement essentials, check the airline’s or insurer’s instructions and retain itemised receipts. A purchase is not automatically reimbursable. Do not build plans around an unconfirmed delivery time.
A later airport collection or extra shopping stop is a separate request; the original transfer does not automatically include either. The useful order is straightforward: report the bag, update the ride, confirm the next steps and give a usable address. With those details settled, you can handle further updates from your accommodation.
Before you leave the airport
- Check with baggage staff whether collection is complete.
- Register the missing bag with the airline and save its reference.
- Tell dispatch where you are and why you are not ready.
- Confirm the pickup and any changed waiting arrangement.
- Agree delivery or collection directly with the baggage contact.
- Provide a usable address and update it if you move.
Keep the pickup conversation open.
